Privacy Notice

1. Who we are

certifiedtranslations.lu is a trade name of Veduta BV, Interleuvenlaan 62, 3001 Leuven, Belgium, company number 0685.416.747. Veduta BV is the controller of the personal data described in this privacy notice. For any question about your data, please email info@certifiedtranslations.lu.

2. What data we process and why

We process the data you give us when you request a price or quote, place an order, upload documents, contact us or ask us to call you back: your name, email address, phone number, billing and delivery address, company name and VAT number if you order for a company, your messages, and the documents you upload. Documents can contain sensitive information, such as details about civil status, identity or health. We use them only to translate them.

We use your data:

  • to prepare your price or quote and to carry out and deliver your order (necessary for our contract with you, Article 6(1)(b) GDPR);
  • to invoice you and keep our accounts (legal obligation, Article 6(1)(c) GDPR);
  • to answer your questions, follow up on quotes and improve our service (our legitimate interest in running our business, Article 6(1)(f) GDPR);
  • with your consent, to measure the results of our advertising, as described in section 5.

We do not sell your data, and we do not make automated decisions about you.

3. Who receives your data

We share your data only when needed for the purposes above:

  • with the sworn translator who translates your document, who is bound by confidentiality;
  • with service providers that work for us under a data processing agreement, such as our business software (CRM, orders and invoicing), email and office software, website hosting, email delivery and payment processing;
  • with postal and courier services, if you order a paper copy;
  • with authorities, such as a ministry or court, if you order an apostille or legalisation;
  • with your consent, with Google and Microsoft, for the advertising measurement described in section 5.

Payments are processed by Stripe. We never see or store your card or account details; we only receive a confirmation of whether your payment succeeded.

Some of these providers store data outside the European Union. In that case, we only work with providers that offer the safeguards required by the GDPR, such as an adequacy decision of the European Commission or standard contractual clauses.

4. How long we keep your data

  • Your uploaded documents and translations: deleted 30 days after delivery.
  • Order, invoice and payment data: as long as accounting and tax law require.
  • Quote requests and messages that did not lead to an order: as long as needed to handle your request, and for a reasonable period after your last contact so we can help you quickly with follow-up questions.
  • The IP address and browser details recorded when you first visit our website: deleted after 100 days.

5. Cookies and online advertising

Our website uses cookies and similar technologies. Some are necessary for the website and checkout to work; these do not need your consent. Only with your consent, given in our cookie banner (Article 6(1)(a) GDPR), do we also use Google Ads, Google Analytics 4 and Microsoft Advertising to understand how visitors find us and whether our ads lead to orders. For this, we record the click identifier of the ad you clicked (if any), the page where you first arrived, the referring website, campaign details, an analytics identifier, and, for 100 days, your IP address and browser details. When you place an order, these details are linked to it, and the order and its value may be reported to Google and Microsoft in pseudonymised form.

Without your consent, we record none of these details, only your choice itself. You can change or withdraw your consent at any time in the cookie settings on our website. Google and Microsoft explain how they process data in their own privacy policies.

6. Your rights

You have the right to access your data, to have it corrected or deleted, to restrict or object to its processing, to receive it in a portable format, and to withdraw any consent you have given, at any time. To exercise these rights, email info@certifiedtranslations.lu. We will reply within one month.

If you have a complaint, please contact us first. You can also file a complaint with the National Commission for Data Protection (Commission nationale pour la protection des données, CNPD), cnpd.public.lu.

7. Changes to this privacy notice

We may update this privacy notice when our services or the law change. The current version is always available on this page.
